PA Team Leader (Middle East), Pinsent Masons, UAE

Purpose of the role:

This job description relates to the additional duties of a PA Team Leader which are remunerated by an annual allowance.  The PA Team Leader will also undertake a Legal PA role for which there is a separate job description.  To work closely with the Head of PA and Administration Services (and HR where relevant) to ensure that efficient and proactive PA and administrative support is provided to the teams.    The team may consist of staff from more than one business unit and numbers and content of the group may change from time to time to reflect the current structure of the Firm.

 

Main duties and responsibilities 

Work Allocation

Coordinate the even distribution of workloads within the PA team(s), ensuring that an adequate level of support is available at all times, including managing any re-allocations of PAs, and sourcing capacity from the local and international PA team. 

Manage monthly PA meetings with minutes and actions for circulation

Take responsibility for ensuring Firm and Group procedures and processes are followed, and actively seek to improve these wherever possible.  Champion any changes as directed by the Firm's management and Business Support teams and act as a positive force within the team

Work with the Head of PA and Admin Services to ensure all PA reviews are scheduled and take place and identify any development plans/training needs

PA Management

Authorise all holidays and absence requests for members of the PA team.  Maintain and monitor holiday and sickness records in OneHR on a regular basis for the team, highlighting any issues to the Head of PA and Admin Services/HR

With guidance from the Head of PA and Admin Services undertake return to work interviews (where appropriate) 

Address minor conduct issues. Head of PA and Admin Services will provide guidance where necessary and HR will support on more serious issues

Ensure application of HR policies and administration for office

Support Head of PA and Admin Services with triannual reviews and performance process

Support Head of PA and Admin Services with talent management and retention

Recruitment & Selection

Liaise with the HR Consultant/Head of PA and Admin Services to discuss general resourcing and any other issues

Assist the Head of PA and Admin Services and HR with the PA recruitment process, including attending interviews

Integrate, manage and provide feedback on the performance of new starters

Support with wider recruitment activities in conjunction with HR

Induction/Trainee & Office Moves

In conjunction with the Head of PA and Admin Services:

Ensure any new joiners to the teams/office moves have all necessary arrangements in place, including IT kit and set ups, introductions to the team and the procedures and allocating a "buddy", departmental know-how and presenting to the team. 

Integrate trainees ensuring they work effectively with PAs and escalate concerns where appropriate 

Complete checklists for all maternity returners and leavers

Skills, Knowledge and Experience

Ability to be objective and professional at all times and to maintain confidentiality.

Excellent communication and inter-personal skills (oral and written).

Capable of working autonomously but also operating within a team environment.

Proven persuasion, influencing, and negotiation skills to include managing conflict.

Ability to work to tight deadlines and able to prioritise where necessary

Administrative support experience.

The tenacity to achieve results.

Has strong personal brand supporting firm values.

Has high level of influence.

The Position:

Provide advanced professional input to Product Development, Client Solutions and Proposition assignments/projects to ensure our organisation becomes an undisputed partner of choice to the people we serve, and maximize our growth strategy for Cigna Middle East.  Responsible for refreshing existing core products and propositions that will help drive incremental growth, as well as introduce new products and enhancements to propositions that are compliant and competitive within the target market(s).

Main Duties/Responsibilities:

·         Support the Head of Product with the development of regionally appropriate, compliant and competitive products and propositions for the regions and segments

·         Partner with internal teams (Sales, Client Management, Underwriting, Actuary, IT and Operations) impacted in the product development process to collectively design, develop and launch new product initiatives

·         Partner with those internal teams to collectively improve the design and development of product development and governance processes, and create business cases

·         Support the product roadmap priorities and ensure continued alignment to achieving our growth strategy

·         Project management responsibility for new product development initiatives, when a project manager is not allocated, working in an Agile environment

·         Participate in regional and global enterprise projects

·         Communicate and work with peers in the product team to knowledge share

·         Understand and leverage partnership strengths and capabilities to support growth within the markets

·         Evaluate product portfolio status on an annual basis

·         Provide updates to the Head of Product for reporting to senior management

·         Coordinate with other global product teams to knowledge share and align where necessary

·         Report project status, resource utilization and ability to recommend changes to improve the team’s overall effectiveness

·         Opportunity to work in a dynamic and agile team, working on strategic projects across the propositions team, including individual and health services segments

Qualifications/Experience Required:

·         Bachelors Degree preferred; MBA or Masters Degree or equivalent experience

·         Minimum 2-3 years experience/knowledge of domestic and expatriate healthcare products and services within Sales, Operations, Product or Marketing, and preferably with knowledge of group propositions

·         Excellent written and oral communication skills

·         Experience of project management

ROLE SUMMARY:

 

Responsible for leading the development, delivery and implementation of the integrated marketing plan in the Middle East and North Africa for our portfolio of schools located in Bahrain, Egypt, Kenya and Oman (More info: https://inspirededu.com/our-schools/).

Supported by the global marketing team, the Regional Director of Marketing & Customer Experience/Acquisition MENA will work with and lead all school marketing activity, with the priority focus on driving student admissions and retention.

For this role, we are looking for a passionate and dynamic person with strong motivation and management skills. The ideal candidate will have at least 5+ years of proven experience in Marketing/Communications, extensive digital marketing knowledge, as well as someone who is action-orientation and hands-on.  This role requires someone who is resourceful, creative and able to create and deliver excellent marketing strategy and plans.

 

You are expected to lead and develop one marketing manager based in Bahrain as well as working with external agencies. You will need strong marketing and brand knowledge, but above all be a people person with excellent communication and leadership skills. 

 

Working at local leadership level you will interact and work with all areas of the Inspired group, including particularly other senior and mid-level Managers, as well as senior executives in the organisation.  Therefore, we are looking for an excellent communicator, who is happy to multi-task and someone who can relate to and understand the complexities that the various schools have, in order to support and overcome the daily marketing challenges that are presented in the local market for our different schools.

 

KEY RESPONSIBILITIES:

Develop a holistic customer journey experience and shape all customer touchpoints to drive conversion rates across all stages of engagement.

Ensure admissions, conversion approach and associated processes enable the school to optimise achievement of student recruitment targets with significant accountability for conversion from enquiry to application and application to enrolment.

Ensure all enrolment activities are tracked and measured to enable weekly reviews of conversion and enrolment activity. This should cover qualified leads, visits, applications, offers and acceptances.

Ensure service standards and quality assurance procedures are met and evolve with parent expectations and needs.

Set clear ‘best practice processes and training’ for in school teams in terms of conversion activities and enrolment follow-ups by regionalizing the global standards and guidelines, ensuring definitions are aligned with the rest of the world.

Undertake data analysis and lead, coach and develop the team to maintain accurate data in school systems, enabling responsive decision-making through the enrolment process and accurate forecasting during annual planning.

PERSONAL QUALIFICATIONS

 

Essential

Minimum 5 years’ experience working in Marketing and Branding.

University Degree (or equivalent) in Marketing / Communications or similar

A native or near native level of spoken and written English

Excellent interpersonal, collaboration, communication, negotiation & team working skills

Technical requirements:

Strategy and planning

Digital performance and traditional ATL campaign experience

PR & advertising experience

Creative and self-motivated attitude to problem solving

Strong willingness to undertake regular travel within MENA (occasionally also overseas)

Ability to learn how to navigate a range of IT systems (Inc. CRM, MIS & data analytics tools)

High level of Microsoft Office & at least a basic knowledge of Adobe design packages.

Knowledge of MEA school market / Education Sector

Consultative Sales Experience
