Department Coordinator

A Department Coordinator will provide scheduling and coordination of special projects, handle calls and inquiries, arrange travel, and offer excellent administrative support to management.

What will I be doing?

As Department Coordinator, you will provide excellent administrative support to department and other managers, as assigned. Specifically, a Department Coordinator will perform the following tasks to the highest standards:

Manage the Departmental schedule
Handle all calls and appointments, courteously and promptly
Provide accurate management of all documentation and maintain a systematic filing system
Assist with the coordination of special projects, including scheduling and follow-up
Arrange accommodation and flights for the Manager business travel
Any other ad hoc tasks as requested by Manager(s)

Job Description

Operational Supervision & Quality Assurance:

Deliver daily fitness and wellness sessions including personal training, group classes, and recreational activities in line with brand standards.

Ensure all fitness facilities and equipment are clean, safe, and fully operational at all times.

Conduct routine checks of gym equipment and report any maintenance requirements promptly.

Ensure proper setup of fitness spaces prior to sessions, maintaining ambiance, hygiene, and readiness.

Support spa and wellness operations as required to ensure smooth service flow.

Guest Experience & Service Excellence:

Provide personalized fitness assessments, training programs, and wellness guidance tailored to guest needs and preferences.

Deliver engaging and professional sessions that reflect Raffles emotional luxury and Fairmont service excellence.

Actively engage with guests to enhance their overall wellness journey and stay experience.

Respond to guest inquiries, requests, and feedback in a timely and professional manner.

Support service recovery by ensuring prompt and effective resolution of guest concerns.

Team Collaboration & Development:

Work closely with spa therapists, wellness curators, and recreation team members to ensure aligned and seamless guest experiences.

Participate in daily briefings to stay updated on guest profiles, VIP arrivals, and operational priorities.

Share insights on guest preferences and wellness trends to support continuous improvement.

Support onboarding and knowledge-sharing within the team as required.

Coordination & Communication:

Liaise with Front Office, Guest Relations, and Spa Reception to coordinate bookings and guest requirements.

Ensure accurate communication of fitness schedules, appointments, and program details.

Promote wellness activities and fitness offerings across the resort.

Assist in organizing group classes, wellness events, and outdoor activities.

Commercial & Financial Performance:

Promote personal training sessions, wellness programs, and fitness packages to drive revenue opportunities.

Encourage upselling of related services and retail products where appropriate.

Ensure accurate recording of sessions and adherence to booking and billing procedures.

Support achievement of departmental revenue and guest satisfaction targets.

Standards, Safety & Compliance:

Ensure compliance with health, safety, and fitness industry standards at all times.

Conduct sessions with a strong focus on guest safety, proper technique, and injury prevention.

Maintain confidentiality of guest information and wellness profiles.

Uphold Raffles & Fairmont grooming and presentation standards.

Support sustainability and wellness initiatives aligned with brand values.

Qualifications

Qualifications & Experience:

Minimum 2–3 years of experience as a Fitness Instructor or Personal Trainer, preferably within a luxury hospitality environment.

Recognized certification in Fitness Training, Personal Training, or related discipline.

Additional certifications in yoga, Pilates, or specialized wellness disciplines are an advantage.

Pre-opening experience is a plus.

Skills & Competencies:

Strong knowledge of fitness techniques, training programs, and wellness practices.

Excellent communication and interpersonal skills.

Ability to motivate and engage guests with varying fitness levels.

Strong organizational and time management skills.

Ability to work collaboratively within a multidisciplinary team.

Working closely with the finance team to set, monitor and refine budgets and drive revenue

What We need from you:

Some college and/or advanced training in food and beverage management

2 years of related experience, including supervisory experience, or an equivalent combination of education and experience

Bachelor’s degree / higher education qualification in Hotel Management, culinary arts, or related field preferred

Must speak local language

Alcohol awareness certification and/or food service permit or valid health/food handler card, as required by local law

Job Summary and Purpose

Provide administrative and secretarial assistance to camp administration function while ensuring proper documents and records are maintained for the work carried out in the function.

Accountabilities

Key Accountabilities:
1. Assist in implementation of rules and regulations pertaining to staff residence so that all relevant procedural / legislative requirements are fulfilled while delivering a quality, cost-effective service to employees and clients.
2. Receive new employees arrival details from the respective section and arrange to receive, brief, issue the consumables and accommodate them as required.
3. Update system records and co-ordinate with Account / HR and other Departments on matters related to the staff residence. Create and maintain various documents and records as required in the SAP and other filing systems.
4. Draft and issue of memos and circulars as necessary for notice boards, departments and contractors.
5. Provide administrative support to Camp Boss, Officer - Residence and other senior staff in the function.
6. To maintain proper filling of all documents handled in the department (system records and manual as required).
7. Keep the office stationery and monitor usage.
8. Coordination with other departments on administrative or transport matters or as instructed by supervisors.
9. Perform the duty as document controller for technical documents like bids, specification, invoice etc. held by the departments and make records easily available during internal and external audits.
10. Data entry work ( MR, Receipts, and Stock adjustment ) related to SAP / material inventory System
11. Comply with all relevant safety, quality and environmental management policies, procedures and controls to ensure a healthy and safe work environment.
12. Performs other secretarial and clerical duties or assignments as directed.
