Purpose of the role:
This job description relates to the additional duties of a PA Team Leader which are remunerated by an annual allowance. The PA Team Leader will also undertake a Legal PA role for which there is a separate job description. To work closely with the Head of PA and Administration Services (and HR where relevant) to ensure that efficient and proactive PA and administrative support is provided to the teams. The team may consist of staff from more than one business unit and numbers and content of the group may change from time to time to reflect the current structure of the Firm.
Main duties and responsibilities
Work Allocation
Coordinate the even distribution of workloads within the PA team(s), ensuring that an adequate level of support is available at all times, including managing any re-allocations of PAs, and sourcing capacity from the local and international PA team.
Manage monthly PA meetings with minutes and actions for circulation
Take responsibility for ensuring Firm and Group procedures and processes are followed, and actively seek to improve these wherever possible. Champion any changes as directed by the Firm's management and Business Support teams and act as a positive force within the team
Work with the Head of PA and Admin Services to ensure all PA reviews are scheduled and take place and identify any development plans/training needs
PA Management
Authorise all holidays and absence requests for members of the PA team. Maintain and monitor holiday and sickness records in OneHR on a regular basis for the team, highlighting any issues to the Head of PA and Admin Services/HR
With guidance from the Head of PA and Admin Services undertake return to work interviews (where appropriate)
Address minor conduct issues. Head of PA and Admin Services will provide guidance where necessary and HR will support on more serious issues
Ensure application of HR policies and administration for office
Support Head of PA and Admin Services with triannual reviews and performance process
Support Head of PA and Admin Services with talent management and retention
Recruitment & Selection
Liaise with the HR Consultant/Head of PA and Admin Services to discuss general resourcing and any other issues
Assist the Head of PA and Admin Services and HR with the PA recruitment process, including attending interviews
Integrate, manage and provide feedback on the performance of new starters
Support with wider recruitment activities in conjunction with HR
Induction/Trainee & Office Moves
In conjunction with the Head of PA and Admin Services:
Ensure any new joiners to the teams/office moves have all necessary arrangements in place, including IT kit and set ups, introductions to the team and the procedures and allocating a "buddy", departmental know-how and presenting to the team.
Integrate trainees ensuring they work effectively with PAs and escalate concerns where appropriate
Complete checklists for all maternity returners and leavers
Skills, Knowledge and Experience
Ability to be objective and professional at all times and to maintain confidentiality.
Excellent communication and inter-personal skills (oral and written).
Capable of working autonomously but also operating within a team environment.
Proven persuasion, influencing, and negotiation skills to include managing conflict.
Ability to work to tight deadlines and able to prioritise where necessary
Administrative support experience.
The tenacity to achieve results.
Has strong personal brand supporting firm values.
Has high level of influence.
