Job Description

- Composes English/Arabic correspondence, memos, various reports, records, requisitions etc. by transcribing, formatting, editing, retrieving, copying, and transmitting text, data, and graphics.


- Conserves Executive's(s) (GM, Head of Division, AGM etc.) time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications; all while updating the Executive(s) on all action taken.


- Maintains Executive's(s) appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.


-Performs duties, if asked, related to personal correspondence, bank expenses, bills, daily diary for the Executive(s).


- Welcomes guests and customers of the Division by greeting them, in person or on the telephone; answering or directing inquiries.


- Preserves office flow and efficiency by coordinating leave schedules/replacements of leave/absentees in the Division, travel itineraries (schedules, reservations & hotel accommodations), filing & handling petty cash for the Division, as well as maintaining records of all invoices and creating an annual report for the Financial Controls Division.


-Maintains office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; and verifying receipt of supplies.


-Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; and maintaining equipment inventories.

We need our Assistants at this level to gather statistics and general data; reviews and combines this information into established reports for use within and outside the unit.   In this role, you will perform numerous secretarial and administrative support activities for a senior level executive, many of which are highly confidential or sensitive in nature.  We need our Executive Secretaries to exercise good judgment and discretion in the execution of all duties and responsibilities.   


Responsibilities:  

Receives and screens visitors, telephone calls, and mail.  Personally responds to as many inquiries as possible, referring remaining inquiries to appropriate individuals within the company for timely responses.  Prioritizes responses to incoming calls from both inside and outside the company.


Prepares correspondence and reports, much of which is confidential in nature.  Composes nonroutine correspondence from brief notes or verbal instructions and composes replies to routine correspondence on own initiative. 


Initiates drafts of replies to other correspondence or inquiries for review by executive. 


Proofreads and/or reformats drafts of documents created by executive for spelling, grammar, and clarity of communication so that final correspondence is signature ready. 


Schedules meetings, conferences, and appointments; establishes and maintains calendar of events and keeps executive informed of commitments. 


Makes arrangements for and hosts visiting dignitaries.  Makes travel arrangements, coordinating airline and auto rental reservations, hotel accommodations, and expense reports.


Prepares meeting agenda, reports, files, and other materials for meetings. 


May generate presentation graphs or charts using various graphics software.


Establishes and maintains follow-up files and confidential files for immediate supervisor.


Initiates routine and nonroutine reports as appropriate.  Researches and compiles statistical information and related data, produces special or recurring reports, and completes special projects as assigned.  Produces and distributes data in graphic, spreadsheet, or narrative format.    


Establishes and maintains databases as required.


Keeps current on all corporate policies and procedures.  Serves as focal point for gathering newly published policies and the dissemination of materials.


Performs other responsibilities associated with this position as may be appropriate.  


Qualifications:


Associate's or equivalent degree in Business (or equivalent)


10+ years of experience in an administrative capacity, preferably with experience in assisting top level executive.


Excellent communication skills.


Proficient at Microsoft Outlook, Excel, PowerPoint and Word.


Familiar with Aconex.

A well-established UAE business entity is seeking an Executive Assistant to work with the CEO and serve as the primary administrative support to the CEO and the Board of Directors. This will involve assisting with wide variety of responsible and confidential administrative duties ranging from: Finance, HR, board meeting packs, attending meetings, working with confidential information, diary and travel management and engaging with both internal and external stakeholders. Additionally, the role encompasses office and facilities management responsibility for the Dubai office and occasional travel to other UAE offices.


The successful candidate must be able to juggle competing priorities, and communicate and negotiate projects on behalf of all parties. You will be extremely well organised, have excellent interpersonal communication skills and have the ability to develop and maintain client relationships as this is pivotal to the success of the business. There will be extensive project management work on projects both internally and externally in order to assist the CEO and the Executive team in their successful completion and often these will be accompanied by deadline pressure.
