About The Role

To build and drive programs for identification, management and reporting of operational risks exposure minimizing loss of inventory, cash and/ or revenue leakage

 

What You’ll Be Doing

Strategic Roles and Responsibilities

·         To lead the loss prevention functions both domestically and regionally to drive programs for identification, management and reporting of operational risk exposure minimizing loss of inventory, cash and/ or revenue leakage for all retail locations.

·         Drive a program of integrated control reviews and assist the risk team to build and implement mitigations to improve the control framework.

·         Work with the wider risk function to review operational dashboards to identify key shrink areas and develop strategic programs to mitigate risks and limit losses. 

·         Develop and oversea the implementation of core loss prevention initiatives across all retail and logistics locations to ensure continuous improvement with minimal impact on customer journey.

·         Ensure compliance to Anti Money laundering legislation, through process evolvement and KYC screening.

·         Incidents & exception monitoring and recommendation build to prevention reoccurrence / impact

·         Investigate known or suspected internal theft, external theft, or vendor fraud

·         Collaborate with law enforcement agencies to report or investigate crimes

 

Functional Roles and Responsibilities

·         Ensure consistency in Audits performed by the loss prevention functions across the whole of retail and review and monitor subsequent operations action plans.

·         Conduct periodic store/warehouse visits to review compliance with LP controls across the region.

·         Perform store risk assessment for all retail locations across the region by assessing considering inventory value, volume of transactions, adequacy of physical security measures, HSE measures and other key factors.

·         Review analysis of stock count and audit results to identify key trends to identify strategic priorities and LP resource deployment.

·         Incidents & exception monitoring and recommendation build to prevention reoccurrence / impact

·         Investigation lead and reporting. Investigate known or suspected internal theft, external theft, or vendor fraud

·         Support Learning and Development department in developing Awareness programs & training on loss preventative controls.

·         Collaborate with law enforcement agencies to report or investigate crimes

·         Direct work of contract security officers or other LP agents

·         Inspect buildings, equipment, or access points to determine security risk and confirm adequacy

·         Respond to all Security Incident Reports raised by the stores / distribution reference security equipment.

·         Perform adhoc store visits to review all security equipment is used correctly. To include CCTV, EAS and intruder alarm system

·         Liaises with Mall Security / local police. Advises stores on procedures dealing with shoplifters and assists in subsequent police cases

·         Demonstrate capability to independently conduct case investigations and collect data from various sources, establish facts, and draw valid conclusions.

·         Effective investigative interviews skills as part of a case investigation - as per international recognized best practise standards

·         Demonstrate understanding of GCC Laws & Regulations with potential impact on Loss Prevention or Security activities.

·         Review AML, NYC data, assigning risk rating and identifying requirements for enhanced due diligence.  

 

People Management Roles and Responsibilities

·         Proven ability to coach and develop a team of LP Manager and Leads 

 

About You

 

Education/Certification and Continued Education

·         Bachelor or Master’s Degree

 

Years of Experience

·        7 years work experience in a large/ diverse retail establishment with latter 2 -3 years in a Loss Prevention/ Asset Protection/ Security Management position

 

Knowledge and Skills

·         Ability to lead a team of Managers/executives/coordinators.

·         Good basic commercial and business acumen with excellent analytical and critical thinking skills.

·         Good Strategic management ability to set up a long term (3-5 year) department strategy in coordination with the team and key stakeholders as well as 1 year operational plan.

·         Critical thinking skills and ability to drive strategic initiates related to shrinkage reduction.

·         Understanding of Budgeting and & Forecasting process and ability to set up budget for own department as well as re-charge budget for Retail Divisions for Loss Prevention related initiatives.

·         Good influencing, leadership, interpersonal and coaching skills.

·         Good change management and stakeholder management skills.

·         Good project management, planning, and execution.

·         Proactive, collaborative and consultative in leadership style.

·         Very good presentation and communication skills both written and verbal.

JOB SUMMARY / PURPOSE

 

The FM Manager – Soft service will manage the project(s) deliver FM services for major elements of infrastructure and built environments, Delivering a service of excellent value, whilst providing technical and professional support to the client and Soft services  while ensuring that everything works when it needs to.

Will Identify, establish, and implement cost effective solutions to the clients which includes the creation of preventative maintenance schedules, cleaning schedules and plans for quality, health and safety environment, training, energy conservation, cleaning, landscaping, security, etc.

 

ROLES AND RESPONSIBILITIES

Ensure that management by information is practiced, that effective performance review structures are in place and that measurement and review drives continuous improvement in maintenance performance

Develop maintenance process and plans, resulting in a formal system of preventative maintenance. Provide a quality maintenance service throughout the project, ensuring that the highest level of service, safety and environment awareness is delivered.

Maintain and develop an asset and equipment register. Provide safe and indexed storage of site drawings, O & M Manuals, and equipment layouts.

Maintain and develop cleaning schedule in accordance with the contract requirement and asset and equipment register. Provide safe and indexed storage of site drawings, O & M Manuals and equipment layouts.

Accountable for the creation and maintenance of all the necessary recording systems needed to comply with Duserve’s HSSE and Regional Health and Safety Legislation.

Accountable for appropriate stocks levels are maintained for all maintenance and consumable items and establish formal stock withdrawal system

Responsible for the preparation of Annual budgets and deliver effective controls to ensure that expenditure is managed within agreed parameters.

Responsible for recruitment, training, and performance management of your team.

Accountable Specialist Service Providers contract management including contract negotiation, performance audits, KPI measurement.

Evaluate contracts to establish whether they are effective and efficient in service, including all soft services and AD hoc  requirements

Responsible for regular site inspections, to advise the client(s) of any general repairs or additional work that is required. Source optional contractors when requested and benchmark cost. Ensure that all contracts operate within the specified budgets, identifying any areas of variations.

Liaise with the client to deal with requests for additions and variations to the contract specifications.

Manage small or medium size projects and identify the risks and issues of the projects and from contingency plans.

Provide technical and analytical support for business areas. Research in to process and technical improvements for the use of improving technology and resources.

Carryout Health and Safety audits on all contractors. Hold meeting with contracts; costs, schedule failure and invoice mistakes, etc.

Ensure your team are working to full capacity and identify training needs. Support in delivering Training program and carryout pre and post appraisals. Carryout all additional task and responsibilities as and when required.

Authorize as and when required timesheet and OT of all FM or the Contract Personnel

 

QUALIFICATION

Bachelor’s degree in Hospitality any related field

Possesses very good command of the English language both verbal and written. Arabic and other language is an added advantage.

Requires thorough knowledge of proper English usage, grammar, spelling and punctuation, along with good mathematical skills.

Possess a valid UAE driver’s license. Familiarity on UAE roads and areas.

 

 

CERTIFICATION

BICs

Health and Safety certificate awarded by OHSHA, NEBOSH or other awarding bodies.

 

 

KNOWLEDGE, SKILL AND ABILITY

Applied knowledge of comprehensive Housekeeping and Laundry operations and procedures.

Applied knowledge in creating work schedules, inventory supplies and cost supplies.

Applied knowledge of P&L analysis and variance reports

Leadership ability to direct, supervise and maintain high morale among staff

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

High attention to detail and good customer relation and negotiation skills

RESPONSIBILITIES

Resident Engineer

Follow up mobilization and de-mobilization arrangements at site.

Keep, monitor, and follow up as necessary and complete records concerning the execution of the works.

Ensure the main contractor and nominated MEP contractor coordinate with all concerned Authorities Departments and ensure that their requirements are adequately and satisfactorily incorporated.

Extend the maximum possible effort to avoid contractor(s) claims for cost and/ or delay.

Review and forward with any comments all submittals including contractor design drawings, shop drawings, materials and alternative proposals submitted by contractors for all disciplines.  Monitor office turnaround, follow up as necessary and issue.

Liaison with and coordination of all technical disciplines.

Hold Site Technical Coordination Meetings to discuss Contractor(s) submissions, Shop Drawings and construction related matters.

Attend Progress Meeting with the Client, Contractor(s), Project Manager (Employer Representative) to monitor the progress of work against the approved programme.

Inspect the work done by the contractor(s) to ascertain that work is proceeding in accordance with the Contract Documents and accepted practice.

Issue to the Contractor(s) the necessary orders and instructions to execute the works in accordance with the Contract Documents. Instruct contractor(s) in writing to take corrective measures to rectify any defective works and or materials.  Note any instruction with financial implication must be consulted with the Client/Project Manager (Employer’s Representative).

Prepare, coordinate with Client/Project Manager (Employer’s Representative) and head office and issue in a timely manner any information required by the contractor for the proper interpretation of the works designed by Atkins.

Determine the suitability of on-site and off-site materials to be used in the project and organize field and laboratory tests, conducted by others, on construction materials to ascertain their compliance with the specifications and to determine its acceptability for use on the project.

Check construction locations and levels established by the contractor(s) and organize field investigations and necessary surveys, conducted by others, for the detailed solution to any problem which may arise during construction.

Upon successful testing and commissioning of all mechanical and electrical equipment and the Contractors obtaining the necessary completion certificates from statutory authorities notify the Client/Project Manager (Employer’s Representative).

Prepare all necessary correspondence required for proper administration of the contract to and from the Client/Project Manager (Employers Representative) and Contractor.

Preparation of Monthly Reports on the status of the project.

Preparation of Bi-weekly Reports on the status of the project.

Process of contractor’s interim payment application and issue certificate based on the Project Quantity Surveyor or recommendation.

Co-ordination of Employer’s data.

Establish on site organisation and lines of authority.

Review with the Project Manager (Employer’s Representative) claims made by contractor(s), provide technical information as required and make recommendations.

Ensure that necessary Documentation including photographs is provided by the contractor for the different stages of the works.

Assess, verify and approve the contractor(s) “As-built” drawings, Operation and Maintenance manuals within thirty (30) days from the provisional taking over of the works handover to the Employer.

Carry out the final inspection for certification of final completion and handing over of the works.

Review the proposed senior staff of the Contractor(s).

Ensure that safety measures on site are adequate. Advise on measures to be taken in order to protect the property and lives in and around the site.

Identify potential safety concerns and inform the Contractor(s).

Review the site progress and review of the contractor’s interim payment application.

Liaise with the PD/SAM/SQM/SHODs for the effective implementation of the quality management systems and site supervision provision activities.

Liaise with the Statutory Authorities and follow- up all approvals, permits as maybe required.

Obtain samples and quotations as required for finalisation of any PS/PC Items.

Monitor the progress of the work against the approved contractor programme of works

Project / Area Interface

Manage the supervision of the works designed by Atkins to ensure compliance with the contract documents.

Assist in external and internal audits to ensure the effective implementation of Quality

/HSE management systems and work with the site team for resolution of non- conformance issues.

Liaise with the project supervision team, coordinate, and resolve any issues of concern.

Review with PD/SOM/SAM/SHODs the project staffing requirements.

Liaise with sub-consultants directly appointed by Atkins and manage the supervision of works designed by them.

Liaise with external entities i.e. project quantity surveyor, project managers appointed directly by the Client.

Client Interface

Attend meetings with Client (as required)

Contractor Interface

Regularly attend progress, technical, safety and co-ordination meetings with the Contractor

Site Operations Office Interface

Liaise with the SQM to identify any particular quality issues

Liaise with the SHSEM to identify any particular site safety issues

Liaise PD/SHODs/SAM any particular project site related issues requiring input and/or feedback

Follow up with SCA issuance of interim payment certificate, variation order, taking over certificate, defects liability certificate.

Design Office Interface

Review and follow-up design office support requests

Attend supervision handover meetings

Attend kick off meetings

Follow up any supplementary design information

Functional Duties

Review prior to issue to the contractor all project related correspondence, submittals, instructions, technical query and establish lines of communication.

Review contractor’s quality systems, procedures and monitor implementation across the project site.

Review contractor’s safety systems, procedures and monitor implementation across the project site.

Implement an efficient project document control system in accordance to the quality management systems.

Perform delegated duties as “Engineer’s Representative” and administer the contract

Administer the day-to-day operations of the site and manage the site supervision team.

Analyse current methods of site supervision and provide recommendations for continuous improvement.

Ensure that the works carried out by the Contractor(s) is inspected and the quality of the works meets the project requirements.

Assist in cross-fertilisation / maintenance of standards across projects through SAM.

Assist in Performance and Development review of the project staff.

Assist in external and internal audits to ensure the effective implementation of Quality

/HSE management systems.

Line Management / Administrative Duties

Coordinate leave requests and cover requirements with PD/SAM/SHODs

Ensure Client/Project Manager is aware of any project site staff leave absences.

Monitor performance or project site staff and inform SAM of any disciplinary issues arising.

Monitor attendance hours and rosters; address issues arising with SAM

Ensure arrangement of overtime inspections; ensuring no excessive overtime worked and record for re-imbursement from Client/Contractor

Review and sign off timesheets on weekly basis

Review, record and assist in a billing Client for sub-consultant services appointed by Atkins

Liaise with SOD office and HR Dept on HR issues arising

Prepare and submit all reports and maintain project records.
