Job Summary
Works under general direction of top management (Chief Executive Officer or Division President). To provide administrative support services and perform broad range of administrative functions based upon understanding of company policy, manager's views and philosophy. Deals with matters of the highest confidential nature that involve strategic operations, legal or financial issues, requiring utmost diplomacy and sensitivity. Duties and tasks are non-routine, requiring substantial and regular independent judgment. Possesses thorough knowledge of workgroup's policies and procedures, as well as in-depth understanding of company policies and processes. Frequently interacts with upper management within and outside their workgroup. Exchanges information with key external contacts, such as board members, financial stakeholders, and outside consultants.

Key Responsibilities
Organizes flow of administrative work through supervisor's office
Organizes and prioritizes activities for manager(s), including controlling access to manager's calendar
Maintains manager's or work group's calendar
Acts as manager's delegate in assigned areas
Screens and responds to telephone and email inquiries, as well as written correspondence, on behalf of manager
Plans and arranges meetings, travel, and events, and coordinates applying for international travel documents
Initiates or composes various documents including correspondence, reports and presentations requiring knowledge of manager's views, philosophy, and some understanding of technical matters
Researches, analyzes and summarizes information
Participates in developing, administering and communicating policies and procedures
Serves as a resource to others in the resolution of problems and issues 
Refers the most complex issues to management
Contributes to the development of other department or company initiatives
Generates or distributes ad hoc reports using various business systems and databases
Generates simple to complex documents, such as letters, memos, spreadsheets and presentations
Creates expense reports
May coordinate completion of timesheets
Reviews and approves timesheets
May code, route, and track invoices
May review expense reports for compliance
May verify accuracy of invoices prior to approval
Performs other general clerical duties as needed
Acts in capacity of a "lead person" 
Does not have management responsibility for the people to whom they provide work direction

About the job

The Medical Operation, Governance and Excellence Manager is the Backbone of medical affair, as it ensure the compliance, tracking the performance and Operational execution of Medical Plans. This role ensure the maintenance of a dynamic medical affairs, monitoring the quality of deliverables and ensure the clarity on the processes to follow.

Medical Governance Responsibilities:

The implementation and maintenance of processes and solutions within Medical Affairs expert profiles/selection and expert engagement tracking, customer databases and CRM systems and their interfaces
Maintain and optimize the harmonized usage of a Medical CRM system (OneCRM).
Lead the collection and align input from TAs on their needs, document the respective business processes and business rules, manage system change requests and lead User Acceptance Tests.
Integration and maintenance of e-learning for the CRM system(OneCRM).
Maintain and optimize l training concepts for customer-facing functions in Medical Affairs such.
Provide Cross TA support to Medical Education.
Continuously review Medical Affairs audit findings and identify potential processes and solutions for globalization, harmonization, and improvement.
Ensuring that best practices in Medicine are shared regionally with the objective of continuous improvement and towards the most cost effective and efficient solutions.
Develop and maintain business relationships with Finance, Contracts & Outsourcing, Compliance, legal and quality.
Assesses and regularly manages risks and works to implement and monitor mitigation strategies with project leads, and appropriately escalate items to leadership should a deliverable be running off track.
Medical Excellence Responsibilities:

Support the Medical leadership team to drive alignment and coordination of goals, priorities, and efforts for Medical Affairs
Establish and maintain a structure for co-creation and co-execution of global medical plans per Global model
Develop and support Change management plans and associated communication plans and medical team Effectiveness initiatives in collaboration with training leads and MSL managers
Contribute as thought partner to the Medical leadership team around future- looking vision, mission, and strategic initiatives
Lead processes for Medical team goal setting and goal management throughout the year including identifying, raising/sharing, and implementing best practices, ensuring consistency in overarching processes and systems, and developing partnerships to ensure ongoing alignment, synergies, and efficiency
Further strengthen and develop the Medical team Internal Community
Mentors and helps new team members get up to speed on projects/processes/systems, and ensures all team members have access to project information necessary to be successful
Ensures all appropriate team member views have been raised and incorporated into team decisions as appropriate
Medical operations Responsibilities:

Development of the integrated Medical Strategic and Operating Plan
Develop integrated Medical projects / programs budgets plans
Provide budget and resource information to Medical team to enable optimal portfolio management and alignment between priorities and resource allocation
Collaborate with Finance to ensure accurate forecasting and budget management on top of Financial Management / Tracking for Medical team
Develop and maintain projects forecast to provide management with accurate budget spend
Ensures that all operational deliverables are achieved on or ahead of schedule, within budget target, and with quality that meets or exceeds the business needs.
Designs, recommends & implements new processes, approaches or tools to manage team needs
Ensures effective, accurate and timely communication of Medical projects using negotiation, facilitation, meeting management and conflict resolution skills to enhance cross-functional team performance
Maintain Compliance  

Abide by the requirements of the internal Code of Ethics including but not restricted to maintaining high professional standards of conduct in line with the Company procedure with a duty of care to the reputation of the Company

What you'll be doing

At Chalhoub, we're driven by digital! As a Site Merchandiser you will be responsible for ensuring offerings and promotions are timely listed online in alignment with stores. You will also be responsible for analysing online purchasing data, competitor comparisons, and translate them into reports to update management.

Product Management

You will manage/create/remove categories and collections on the website
Manage product recommendation and personalization tools
Ensure consistency of product SKUs and labels with ERP system
Align with the Online Brand Strategy plan and assist the dedicated teams on operational actions for acquisition, promotion, retention, communication, etc.
Liaise with the purchasing team for new launches (in line with all stores)
Liaise with the commercial team for new brands listing
Manage the launch of products, including content request from brands and stock request from purchasing team
Ensure all promotions are active online (including; discount promotions, GWP and PWP by country)
Merchandising on Site

Utilise sales and customer analytics to decide how products should be displayed online to maximise sales
Guarantee optimum brand presentation in homepages, landing pages and product description
Product assortment by best sellers, unsung heroes and new launches to optimize sales
Filters and main menu navigation update
Homepage banners and content update to guide customers to our current promotions, newness, product recommendations and best sellers
Optimizing product pages including; product imagery, monitoring reviews, cross-sells/upsell and product page ‘special offer’ banners
Optimize the catalogue to increase conversion rates
Stock Management

Monitor stock levels to avoid out of stock issues during peak season
Forecast and create stock replenishment for the purchasing team to action
Analyze and manage the stock levels to reach sell through ratio KPIs
Coordination

Own the merchandising calendar – planning with marketing, content, social, email and seek to constantly optimize
Work with purchase coordinators to ensure products used in marketing campaigns are online in time, share product links and work with content team to manage social media schedule based on arrivals
Notify marketing/content team of new brand arrivals for photography so it’s ready to launch with Brand online
Work with CRM to determine email schedule, select relevant product
Work with Finance to determine budgets and forecasting
Liaise with concessions for uploads, seasonal updates and sale alignment
Communicate Brand updates and website changes with the team
Reporting

Analyze and report on best sellers by week, month, country, categories and Brands
Draft monthly reports to update brands on their current market shares and ranking against competitors
Update monthly dashboard/CEO dashboard
Generate forecasts and topline definition
Analyze website performance, traffic, conversion and other KPIs across regions and countries
Monitor google analytics on a daily basis to create actionable recommendations
Process daily SMS to customers with pending orders to help minimize the cancelation rate
What you'll need to succeed

Must have strong online merchandising experience - approximately 2-5years
Experience with a fashion/beauty eCommerce business
Strong knowledge and experience of Google Analytics
Commercial awareness to drive conversion rates onsite
Strong reporting experience and forecasting
Self starter and a quick learner
Experience with SFCC is preferred
