JOB DESCRIPTION

Main Duties:

Supports Executive Director – Finance with diary management.

Creates meeting agendas, takes minutes and records summaries of actions to be taken.

Prepares assigned presentations, reports, statistical charts and briefings.

Ensures all the payments and other administrative systems are maintained and continuously tracked.

To Effectively provide administrative support to ensure efficient operation in the team.

Compose correspondence, proofread documents for accuracy and completeness and follow up on actions

Complete petty cash, reimbursement, and requisition forms

Assist in all aspects of event planning

Coordinate projects and spreadsheets with precise attention to details

Ensures strict confidentiality, discretion, and professionalism at all times.

Contributes to team effort by accomplishing related results as needed.

Arrange for meetings as instructed. Include arranging conferences, visual aids and refreshments. 

Assist with tasks assigned as and when required by the management team.

Provides administrative support to Finance team.

Specific Duties:

Act as first Finance contact and guides queries to the appropriate responsible Finance member.

Coordinates projects as assigned by the Executive Director – Finance and liaises with key stakeholders if and when needed.

Assists in maintaining schedule and coordinating calendar activities.

Manage diaries of team members, schedule internal and external meetings 

Assist in planning itineraries, including booking travel and accommodation

Files, archives and maintains Finance documents and communications as required for governance. 

Participates in group wide Finance meetings

Ensure direct delivery of confidential material/mail. 

Ensures strict confidentiality, discretion, and professionalism at all times.

Performs any other assignments or tasks when requested or needed. 

Undertakes any other duties as assigned by Executive Director - Finance

Minimum Experience:

Previous working experience as an Administrative assistant for a minimum of 1 year is preferable

Job Specific Knowledge & Skills:

Good communication skills (verbal & written)

Arabic speaking skills of advantage

Strong interpersonal skills 

Good knowledge of Microsoft Office (Microsoft Outlook, Word, Excel, PowerPoint)

Administrative writing and reporting skills

Strong follow up skills and result oriented

Data driven mindset

High ethical standards

A positive and solution focussed attitude

A clean enhanced disclosure and Barring service or police check

Strong ability to prioritize and multi task

About the Department:

UOWD’s School of Business has two finance programmes;

Undergraduate – Bachelor of Business - Finance

Postgraduate – Master of Applied Finance (MAF)

Our Bachelor of Business in Finance degree is designed to offer a holistic insight into financial management of business and how to work hand-in-hand with financial intermediaries and institutions.  The degree provides exposure to real world issues through opportunities to work on industry projects. Students would also have the opportunity to work on simulations and financial datasets in the trading lab to gain exposure to real world skills.  

The MAF programme is dynamic with two specializations:

1) Investing

2) Corporate Treasury

The Master of Applied Finance degree in Dubai includes relevant and current case studies that compare theory with examples of leading-edge corporate practices, guest lectures delivered by industry professionals, peer learning and critical reflection, followed by undertaking assessments that focus on using and applying knowledge and skills in real-life settings.

Both programs are fully accredited by the Ministry of Education in U.A.E. and in Australia. We have a good relationship with the home campus and are now finding opportunities to collaborate globally with Australia and two other campuses. In addition, we have recently moved to a brand-new campus with the latest technology and classroom design for student-centred learning. This position is a key hire and the candidate will have the opportunity to contribute to the development and ongoing growth of both undergraduate and postgraduate programmes. 

Requirements & Responsibilities:

UOWD seeks a dynamic, creative and collaborative faculty member to guide and inspire in the core areas of finance with a specialization in Investing. Specific teaching and learning experience as required include teaching at undergraduate and Master’s level in the areas of Finance, ideally focusing on Portfolio simulation, Digital finance, Investing, Banking, Derivatives and Risk management.

Candidates should have a PhD in Marketing, or a closely related discipline, from an accredited university and are expected to have a strong commitment to, and evidence of, teaching and learning excellence and impact in the core discipline. UOWD is an advocate of Responsible Research and candidates are also expected to provide evidence of strong and sustained commitment to societal impact through their research activities and industry-research collaborations.

Qualifications & Experience:

PhD in the discipline from an AACSB accredited international academic institution.

Teaching and learning experience at an AACSB accredited institution.

A responsible researcher with outcomes including high-impact publications*, generation of research income and industry-research collaborations, with a focus on addressing societal challenges

Experience in supervising Masters Research/Doctoral candidates.

Fluency in the English language (both spoken and written).

Job Description

Project Management

Directly responsible for leading the execution of not so complex Projects which usually requires decisions having high impact on the business and which necessitates a higher acumen of managerial, technical and contractual skills.

Work diligently to ensure that the awarded projects are delivered in full, on time, on budget and to the required quality standard (within the agreed specifications).

Work closely with SSC, engineering, technical, planning, production, quality, logistics and field services to develop detailed and updated project execution plans for all running projects and to regularly monitor and follow up the progress vs the baseline plan.

Escalate any issues that cannot be resolved at his level to the project manager.

Prepare and submit regular project summary updates.

Reach out to project planning manager to discuss projects priorities.

Coordinate daily with the operations team to ensure realization of the production, inspection and logistics schedules which would enable timely deliveries to customers.

Monitor, Follow-up and Report the progress of ongoing projects to ensure that project plans and milestones are being pursued and fulfilled.

Analyze project execution issues and client requests and ensure that the necessary corrective actions, best practices and necessary controls are initiated and rolled out.

Monitor the projects scope variations and ensure that the appropriate tools are deployed in order to maximize profit on projects.

Monitor project risks and introduce the appropriate mitigation action so as to safeguard the company’s interest and escalating issues where necessary

Monitor payment schedules in order to ensure timely collection and minimize late and overdue payments.

Ensure that all customer requests and complaints are being attended and resolved professionally and in a timely manner.

Manage and nurture relationships with customers and clients through efficient communications, timely response, and regular visits.

Implementation and compliance to the applicable policies, procedures, workflows and methodologies

Adhere to legal and financial procedures set by FPI in the execution of projects while highlighting risks.

Ensure strict compliance to FPI applicable in-house rules and Ethics policy.

HSE

comply with HSE policies and procedures

Internal: Project Planning, Legal, Sales, Bids & Proposals, VETM, SSC, Production, Purchase, Stores, QA/QC, Delivery, Site Services, and Finance.

External: Customers, Suppliers, Subcontractors, DFI/ENOIA

 

Job relevant information (BOUNDARIES & DECISION MAKING AUTHORITY)

Responsible to ensure that his/her projects are handled according to FPI general terms and conditions to ensure profitability

Full understanding of the contractual conditions, financial aspects, and process of projects

Skills

Minimum Qualifications:

Engineering degree in Mechanical, Civil, Chemical or Industrial

Good inter-personal & Communication skills

Minimum Experience:

3+ years Project management relevant experience

Job-Specific Skills:

Knowledge of Contract Law

Hands-on Project management experience

Knowledge of the Company’s products, processes, accreditations, delivery, installation and quality procedures

Knowledge of the logistical interactions needed for efficient project management

Team work player
