Vendor Management Unit Head, Department of Culture and Tourism, Abu Dhabi, UAE

Role purpose:

Manage and maintain vendor relationships with targeted and potential vendors, negotiate related contracts, create vendor standards, and find best available vendors in order to successfully accomplish plans and objectives of the Technology Department.

Key responsibilities:

 

Annual Planning

Contribute to the development of the Technology’s department annual business plan in order to ensure that the unit’s activities and plans are aligned and congruent with the needs a plans of the department.

Contracts and Vendor Management

Monitor and measure the fulfillment of contractual obligations, and ensure comprehensive compliance with established DCT and the department’s standards and guidelines.

Lead on the development of strategies to address compliance failures, and regularly identify improvement opportunities in-line with the defined objectives.

Lead on identifying required changes, evaluate impacts, and liaise with stakeholders to identify implications and consequences and provide technical recommendations for improvements.

Review SOW documents in accordance with procurement policies in preparation and issuance for RFQ’s, RFI’s and RFP’s ensuring alignment with the department’s priorities and objectives.

Manage the negotiation of existing vendor contracts, and identify new vendor contracts and contribute to managing the implementation of service improvements actions for the overall technology department in-line with the goals.

Lead on dealing with and escalating any pain points and issues related to vendors, including managing communications between the vendor and the Technology team in relation to such issues.

Manage liaising with stakeholders to ensure identification of continuous improvements through benchmarking analysis.

Contribute to conducting benchmarks and utilize vendor’s performance data to ensure that vendor performance is regularly reviewed and monitored.

Ensure updating vendor database with vendor pre-qualification, background checks, on- boarding, status and currency of registration (trade and commercial licenses etc.) in-line with DCT’s guidelines.

 

Shared Activity

Ensure effective cascading of the functional strategy into section business plans to ensure vertical alignment and horizontal integration with other interfacing sectional strategies.

Lead the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction.

Carry out any other duties and responsibilities related to the role at the request of the direct manager.

Manage and ensure effective implementation of functional policies, procedures and controls covering all areas of assigned section activity so that all relevant procedural/legislative requirements are fulfilled while delivering a quality, cost-effective service.

Follow all relevant departmental policies, processes, standard operating procedures, and instructions so that work is carried out in a controlled and consistent manner.

Demonstrate compliance to organization’s values and ethics at all times to support the establishment of a value drive culture within the organization

Contribute to the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction.

Qualifications

Bachelor’s degree (Master’s degree preferred) in Computer Science, Procurement, Vendor Management, Finance or equivalent.

Certifications in IT CCNA, ITNL MCSE, CISSP, PMP is preferred.

 

Experience

At least 10 to 15 years’ of experience in vendor management or equivalent with at least 5 years of experience in a managerial position.

 

Skills

Full professional English proficiency both in speaking and writing Arabic bilingual desirable butnot mandatory

Skilled in MS Office (PowerPoint, Word and Excel) Administrative skills and attention to detail

Self-motivated with a proven ability to complete work in a timely manner

Expert knowledge on rebates schemes, preferably accustomed with UAE best practices Experience with business planning and cost reduction

Extensive experience with program management related to finance and policy

Ability to build and maintain strong relationships with key stakeholders and vendors

Ability to analyse problems, identify alternative solutions, anticipate consequences, and provide excellency in execution: committed to deliver work with high standards of quality

Thorough understanding of information technology procedures and practices

Thorough understanding in performing risk, business impact, control and vulnerability assessments

Ability to develop concepts and business cases for new investments

Radix is looking to hire a Treasury and Admin Executive, a dynamic professional who will be performing various functions related to supporting the finance department and management team. S(he) will be completing routine treasury tasks including preparing budgets, maintaining reports, and completing basic bookkeeping and treasury duties for the company.

*Request only candidates with relevant experience in banking operations and who are currently located in Dubai with a Valid UAE Driving license to apply.

What you will do?

Banking & Finance

Liaison with banks for Credit card, bank account opening, relationship building with RMs.

Liaison with consultants, understanding the processes on various compliances.

Ensuring DMCC compliances wrt renewal of licenses, KYC, submission of documents whenever asked by DMCC etc.

Documents maintenance and compliance tracker maintenance.

Secretarial work and document preparation for any task (with guidance from company secretary in India).

Payment transactions upload on bank portal for both India and UAE accounts.

Other MIS related work as suggested by the India office.

Administrative Support

Provide administrative support to business offices by efficiently managing office infrastructure repair and installation tasks, ensuring a well-functioning and visually appealing work environment, along with managing the inventory of company merchandise/gifts and facilitating distribution to employees.

Skillfully evaluating and selecting vendors and contractors based on thorough documentation review, ensuring high-quality services and cost-effectiveness.

Facilitating smooth procurement processes by preparing purchase requests and collaborating with suppliers to obtain competitive quotes, enabling timely acquisition of materials and supplies.

Serving as a central point of contact, promptly addressing and resolving day-to-day administrative and operational queries across departments and operating units.

Providing valuable assistance in various special projects and initiatives as assigned, including employee migration, travel logistics, office events, and distribution of merchandise.

What do you need?

A Bachelor’s degree (B.Com/BBA) with at least 5-7 years of relevant work experience in banking and administrative work.

Experience in Secretarial work is an added advantage.

Very good verbal and written communication skills.

Excellent understanding of various fundamentals and concepts of bookkeeping and accounting.

Good in Microsoft Excel, MS Office, and Google Sheets.

Is Proactive and likes to work independently along with strong organization and time management skills.

RNZ is a global AGRI Inputs company based in UAE, manufacturing customized foliar and granular NPKs. Also RNZ produces Sulphur based products using Thiogro patented process in technical collaboration with Shell. The administration manager will be involved in planning and coordinating administrative procedures and systems and devising ways to streamline processes. Recruiting and training personnel and allocate responsibilities and office space. Assessing staff performance and provide coaching and guidance to ensure maximum efficiency. Should have full HR&A knowledge of UAE laws, specifically wrt to Abu Dhabi, Dubai & Sharjah emirates.  

Responsibilities:

Supervising the day-to-day operations of the administrative department and staff members.

Hiring, training, and evaluating employees and taking corrective action when necessary.

Developing, reviewing, and improving administrative systems, policies, and procedures.

Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.

Working with the accounting and management teams to set budgets, monitor spending, and process payroll and other expenses.

Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions.

 

Qualifications:

Education: Bachelors/ Masters in HRA. MBA finance/ Admin added advantage from reputed institutes

Experience: 5+ years of strong experience as Admin manager, specifically in emirates of Abu Dhabi, Dubai & Sharjah. Also direct liaisoning for permissions from all relevant authorities/utilities/ KEZAD/JAFZA/ EHS/ Civil Defence/ MOCCAE/ Chambers of Commerce etc.

Knowledge, Skills, and Abilities:

Experience in a related field, such as management or financial reporting, preferred.

Exceptional leadership and time, task, and resource management skills.

Strong problem solving, critical thinking, coaching, interpersonal, and verbal and written communication skills.

Proficiency with computers, especially MS Office.

Ability to plan for and keep track of multiple projects and deadlines.

Familiarity with budget planning and enforcement, human resources, and customer service procedures.

Willingness to continue building skills through educational opportunities.

 

Software Application and Technical Knowledge:

Advanced skills with: SAP, Word, Excel, Outlook, Presentation packages
