Job Summary

The key role of Operational Excellence Manager is to implement IOE (IFFCO Operational Excellence) across the various Manufacturing sites of IFFCO across the globe. Initially the focus is on Oils & Fats Division. IOE has 5 dimensions, Performance Management; CAPEX Management; Asset Management; Safety, Quality & Sustainability Management and People Management. Implementation of IOE will have a visible impact on the company’s P&L, Conversion Cost and Bottom Line. At the same time, it will make sure that our assets are taken care, customer/ consumer trust is built and environmental sustainability is ensured. This role includes diagnosing current performance levels across all the above five dimensions of IOE; developing hypotheses; structuring problem-solving and root-causing; devising workplans and executing analyses; developing actionable recommendations in well-structured executive briefs; and implementing these recommendations in a hands-on way on the ground – wherever the opportunities may be.  In addition, this position should build strong cross-functional and personal relationships with Operation Heads across the company to identify and realize performance-improvement opportunities.

Roles & Responsibilities

•    Own, plan, prioritize, and track IOE Implementation across the manufacturing facilities as per priorities agreed with Strategy/ AOP Plans. 

•    Create ‘personal value-add’ by initiating, steering, and completing initiatives in his/her own ‘spike’ area of expertise, including leading by example and setting the high bar in terms of work quality and impact. 

•    Deploy strategy for Lean Manufacturing/ Six Sigma/ TPM as per need of unit. Provide strong quantitative / Qualitative analysis before jumping to methodology. Data is Key.

•    Structure the hypotheses into MECE components for methodical problem-solving and root-causing in an effective and efficient manner to tight timelines.

•    Create detailed workplans with a systematic iterative update cadence for Continuous Improvement and careful Change Management with key stakeholders.

•    Plan and execute – in a direct and hands-on way – the required analyses to identify the problem root causes and high-impact solutions, including the quantification of financial benefits.

•    Develop internal IP in terms of toolkits, fact-based Points of View, financial/non-financial models; and dashboards to share best practices across the organization.

•    Build strong cross-functional and personal relationships both inside and outside the organization to learn continuously how the IOE team can support the operations.

KPIs

•    Financial Indicators: Conversion Cost (per MT); COGS abs/%; Opex abs/%; 

•    Operational KPI’s : OEE, Planned/ Unplanned Stoppages, Yield %, 

•    Environment KPI’s: Energy/ Water (per MT), Waste Generation

•    Safety KPIs: TRIFR, Near Miss Incident Investigation Compliance

•    Project-specific KPIs:  On-time project completion

Work experience requirement

 

7~12 years of work experience, as an internal expert/consultant in an FMCG company or as an external advisor with a reputed operations consulting firm        

Hands-on implementation of complex Continuous Improvement Initiatives across Manufacturing with demonstrable financial benefits        

Stakeholder Management experience with mid management level professionals, often working in remote locations across the company’s international network of operations        

Qualification

Technical Bachelor’s degree from a reputed polytechnical school         

Global process-improvement certifications, including Lean/Six Sigma and PMP

Job Description

The Position holder is responsible to ensure that inventory valuation and product cost transactions impacting financial reports are monitored, controlled and posted to the materials ledger and general ledger. This position reports to the Global Distribution Materials Manager.

Successful Position holders are excellent communicators, enjoy solving problems, and work well in teams.

 

Roles and Responsibilities:

Perform Quarterly Inventory count reconciliations:

Execute cycle count and periodical physical counts: plan creation/posting of adjustments/root cause and reporting per global procedure

Ensure that the quantity on hand in SAP is correct compared to the physical counted quantity in the warehouse.

Investigate and resolve variances by liaising with 3PL, Warehouse Leads, HLS and SAP ITT as required.

To ensure that inventory stock and transactions are properly valuated:

Perform weekly review of TB vs PnL for Purchase Price Variance related accounts

Analyze and review standard price revaluation impact and submit standard price update template to SAP CPF ITT

Prepare monthly Purchase Price Variance file for recharge to GUs

Prepare weekly MI PN file for GSS Team to review MI standard price

Review materials are appropriately priced and mapped in the material master record

Perform relevant cost component analysis in SAP (Materials Standard price, inbound freight cost, negative cost etc)

Ensure accurate stock transaction records (Reception, Issuance, Junking, etc)

Review and analyze SO incompletion log; liaise with Dubai CS team to resolve.

Ensure that inventory valuation and related accruals are accurately valued in financial reports.

Calculate the monthly top-up for Buyback obs. provision

Verify and analyze automated monthly obsolescence provision changes

Verify and analyze monthly In-transit accrual

Co-ordinate with G&A team on MR11 cleanup of GRIR

Review and analyze month end ML revaluation entries

Ensure correct re-classification to DIV HQ of inventory

Prepare BTO and Weekly Inventory (MB51) dataset for publish on DSC Inventory BI

Prepare IE Aging Dashboard (mid month and Month end),  calculate aging >90 days month end prov accrual and non-op recharge to GU

Prepare Balance sheet reconciliations for relevant inventory accounts and oversee clearing of open items

Prepare ageing reports for NAM and MEA RDC BTS to be shared with MRP Performance Analyst for monthly Quality Index publish

Maintain and publish month end DSC BI inventory datasets

Consolidate and align entity level datasets vs TB/HFM

Ensure compliance with established procedures and company standards to maintain effective control over the physical product flow and storage for the warehouse and other inventory areas.

Qualifications and Experience:

3 years or more experience in similar role

Analytical Skills

Finance / Accounting knowledge

SAP Finance and MM user knowledge

What you'll be doing

The primary purpose of the job shall be to implement systems and procedures within the team, participate in financial and KPI reporting, day to day management of the direct reports, performing monthly and annual financial closings and providing quality technical advise to both Group and clients.

Reporting

Preparing and arranging all pre-closure meetings with relevant finance teams followed by documented minutes.

Provide a comprehensive financial and accounting advice to all stakeholders.

Ensure all accounting treatments are in accordance with the IFRS. All deviations are discussed and agreed with the management.

Ensure the TB is released to finance teams within 2 working days for MCs and within the deadlines as advised by JVs.

Ensure all queries on TBs are responded within one working day.

Ensure there are no errors in any of the trial balances (TBs) under your responsibility.

Maintain up to date and accurate status of all BS schedules. All BS schedules must be prepared by 15th calendar date of the following month.

General Reporting Agenda for the above entities

Ensure there are no long pending technical issues in the assigned entities. All such issues must be identified, discussed, and resolved timely within a month.

Coordinate internally to resolve any matters affecting financial reporting of the entity.

Ensure all IT related issues have been logged and escalated wherever necessary.

Prepare and sign off monthly reporting checklists before releasing the results.

Ensure all relevant CSA requirements are met, adequately supported and submitted timely.

Audit

Ensure audits are finalised/closed/signed of latest by 28 Feb.

Ensure and align there are no topics in the Management Letter or any avoidable uncorrected misstatements in the representation letter.

Ensure Allied separate and consolidated FS are prepared by 20th January.

Participate, supervise, and coordinate preparation of external audit documentation and external stakeholders reporting.

What you’ll need to succeed  

Recently qualified Chartered Accountant, ACCA , CPA or CA (Finalist).

Proficiency in English.

Previous experience in Big4 is preferred.
