JOB SUMMARY

The new Voice operations Specialist would be managing complete Collaboration & Communications services in Middle East and Africa Region.  The role would involve in efficiently managing MEA Voice Infrastructure services and to deliver the system uptime and availability as defined in the Global SLA. Need to have proactive approach in managing and supporting Voice Operations in MEA for all C&C Services.  The candidate will need to prepare high quality documentation, manage local vendors/suppliers and retain overall accountability for Voice and Video services from Voice operations perspective.

RESPONSIBILITIES

Processes

Provide support expertise to internal and external stakeholders and Business partners in relation to Bank’s Communications & Collaboration Voice Operation Services.

Implement and maintain proactive monitor solution and troubleshoot issues pertaining to Unified Communication and Enterprise Voice infrastructure solutions.

Work closely with Engineering team to adhere with Global Engineering standards for Unified Communication and Voice Infrastructure Services.

Work closely with bank Internal Security teams to comply and adhere with the Bank’s Cyber Security Standards and requirements.

Ability to drive and comply with Patch Management process for C&C Voice services.

Understand, track and drive resolution of complex technical issues by collaborating and working across various Technology domain teams to ensure the services owned are responded and addressed in timely manner.

Ultimate accountability for Voice services, potentially call out when Severity issues escalate

To ensure that technical solutions proposed satisfy both immediate and long-term needs of the business and ensure adherence with Group’s technical and security standards.

To manage and deliver all Voice BAU projects in Middle East and Africa region.

Work cohesively with other colleagues of Collaboration and Communications Voice Operations team to drive service excellence.

Prioritize work to successfully deliver service in a diverse environment.

People & Talent

Efficiently manage Business Stakeholders and Country Technology teams in Middle East and Africa region.

Need to manage and support Voice Operations to meet Operation excellence.

SME and Point of Escalation for all Technical issues and queries related to Voice Services in Middle East and Africa region.

Risk Management

Documentation of risks with clear mitigation plan and controls

Identify and report all risk issues related to C&C Voice Services in timely manner.

Effectively manage and track all the risks to closure.

To manage and support all Audit related work

Governance

Vendor Service Reviews and Contract Management

Ensure Continuous Service Improvement and Service Quality for UC and Voice Services.

Regulatory & Business Conduct

Display exemplary conduct and live by the Group’s Values and Code of Conduct.

Take personal responsibility for embedding the highest standards of ethics, including regulatory and business conduct, across Standard Chartered Bank. This includes understanding and ensuring compliance with, in letter and spirit, all applicable laws, regulations, guidelines and the Group Code of Conduct.

Effectively and collaboratively identify, escalate, mitigate and resolve risk, conduct and compliance matters.

Manage and support to achieve the outcomes set out in the Bank’s Conduct Principles. 

Need to liaise with Country Technology Management team to provide the required artefact and information required for local TRA and FCA regulators.

Overview of the role

This role is responsible for ensuring complete customer satisfaction in the transaction and improving the performance, productivity & efficiency of the process through the provision of effective methods and strategies. 

Provide administrative support services to the Commercial Assets Department (Leasing, Property Management, Tenant Coordination) for the successful implementation of the Leasing strategy.  This includes overseeing preparation of Leasing Legal contracts/documentation; entering Lease information in Yardi and Ejari; generating weekly/monthly/Leasing/Property Management reports as when required by Management. Also, to act on behalf of the Landlord as his representative to coordinate commercial and retail Tenants on designs & fitout, to ensure these are compliant with the Landlords specifications, design guidelines and lease requirements, so the Tenant opens on the required office/shop opening date. Coordinate with commercial tenant and internal departments (FM & PM) to ensure move-in/outs are completed as per policy.

What you will do

 

Prepare and implement administrative processes and procedures to support the Commercial Dept in achieving the overall Leasing strategy. 

Coordination with other departments to facilitate good working relationships and provide accurate and prompt support to the Asset Management and Property Management Team to facilitate the efficient operating of the department.

Work closely with EIT Team and external consultants to identify policies and procedures to improve the current process to ensure best practice:

Commercial Leasing Process manuals/policies - Process champion

Car Parking processes

VAT Compliance Program and Simulation runs

Expert Users - Ariba Procure to Pay Implementation

Yardi – Super User

And any other systems required by Management.

Yardi - Ensure all Lease contract information is 100% accurately recorded in Yardi system including new leases; amendments; terminations; etc.  Liaise with Finance and STS departments to ensure recorded information is error free and correctly formatted in order to generate accurate reports from the Yardi system.

Ensure that new and renewal Lease documentation including Surrenders or Side Letters, LAF, DS or any other Legal document is prepared in accordance with the SOP and is signed by the authorised person as per the DOA in order to avoid any litigation.

Awareness of local legal procedures and practices, ensuring that these are upheld and/or not contradicted in Lease terms.  Awareness of Dubai Land Department (RERA) rules and regulations.  

Ensure that new and renewal Lease/ CPL documentation is prepared in accordance with the business Policy & Procedures and is authorised as per the DOA (including Lease Agreements, Amendments, DOT, DOS, CPL, and all required legal / leasing documents within the agreed timelines requested by management.

Assist the Senior Asset Manager in marketing and advertising of vacancies to attract new/ potential tenants and preparation of leasing documents, such as Lease proposals (LP), Lease Approval Form (LAF) and Deal Summary (DS).

Ensure on-line filing system is in accordance with business guidelines and files are appropriately saved online (Yardi, Projectwise; etc) and hardcopy filing system for Original Leases and correspondence and ensure that there is an effective system in place for tracking and retrieval.  

Payments – ensure that all cheques and fees payable with Lease documentation (including Surrenders) are current and correctly dated prior to passing documents for execution.

Targeting Existing Tenants/ Payments: Follow-up with all Existing tenants, local and international, for the signed Lease documents along with the payments.

Debt Management/ Finance reports: Assist the Credit Control team to manage the debtor’s recoveries/ bounced cheques/ file legal and criminal police cases along with Legal department.

Act on behalf of the Landlord as his representative to coordinate Tenants designs & fitout, to ensure these are compliant with the Landlords specifications, design guidelines and lease requirements

Required Skills to be successful

 

5-6 years in an executive Admin role with sound knowledge of Real Estate admin/ or legal practices.

Good understanding of IT systems, databases, financial data and Excel 

What equips you for the role

 

Degree holder or suitable experience gained in a similar role.

Ejari and DSR certified.

Overview of the role

The main function of this role is to implement the escalation process and providing guidance on ER matters. The role will consist of maintaining the ER speak up channels for employees to raise concerns and manage  ER Cases , ensuring the cases are investigated and tracked in line with the escalation process, developing and maintaining metrics and reports, ensuring the outcome of each case is compliant, fair, consistent with business priorities and local labour law and adhering to the Al-Futtaim values. The role will also require implementing, and maintain the Policy Framework, Compliance proceses and Business Ethics policies, guidelines, and other relevant ethics-related documentation for the organization

 

What you will do

To provide timely and accurate advice on employee relations issues, HR policies, local labour law practices, policy standards and compliance risk.

To mediate conflict, to conduct employee investigations, to conduct disciplinary hearings always remaining impartial, confidential, fair and professional

Must be able to make recommendations for corrective and disciplinary action.

To ensure ER policies/codes & processes are current, conform and comply with the relevant labour laws. (Grievance Code/Speak Up, Disciplinary Code, Code of Conduct & Ethics, etc.)

To constantly communicate and implement the end to end process of the policy framework, compliance processes group-wide grievance/speak up, disciplinary, and the escalation process.

To act as a translator in employee grievance or appeal hearings and to communicate ER programs and strategies.

Ensure effective working relationships in a diverse multi-cultural & competitive commercial environment.

Represent ER on various internal/external committees.

Have the ability to develop SOPs, SLA’s and lean process flows.

Developing ER training program and material

Ensure accuracy in all ER administrative tasks, (legal, financial and reputational) for group-wide employee relations.

Maintain a strong network of internal and external specialists and peers

Involvement in HR strategic projects as required.

Support the Line Manager with the policy project review process, consolidation, monitoring and delivery.

Support the Line Manager with HR Compliance Reviews

monitor controls and key performance indicators (KPIs) for an effective compliance program performance management and for the speak program

Analyze and report on the compliance program and speak up performance

Carry-out compliance risk assessment and due diligence covering all areas of the Ethics policies

Analyze and report on disciplinary process

Roll out campaigns creating awareness on ER related matters, such as the COCE, speak up, etc.

Implementation of corporate ethics training program, including appropriate introductory training for new employees as well as ongoing training for all employees and managers

Must be organised and efficient.

Ability to analyze and concisely explain verbally and in writing legislative and/ or policy changes.

Ability to multi-task within a demanding environment.

Ability to analyze reports, preparing summaries and propose actions were relevant

 

What equips you for the role

Strong knowledge of employee relations.

Minimum 5 years relevant working experience in HR and/or ER in the GCC.

Exceptional candidates who do not meet these criteria may be considered for the role provided they have the necessary skills and experience.

Employment law knowledge.

Proven track record in project management and delivery.

Experience in drafting/ editing policy documentation.

Good understanding of the various functional areas and risk within HR and their role/ importance.

Excellent verbal and written communication skills

Excellent knowledge in the use of the Microsoft suite such as Excel, Word, Powerpoint, etc.
