Operations Supervisor, Aramex, Abu Dhabi, UAE

KEY ACCOUNTABILITIES

Typical duties included are but not limited to:

 INBOUND

 Files daily incoming reports and forwards to all teams as per Quality of Service Standards

(QSS).

 Ensure the proper system updates are made as per QSS.

 Follows up on delays and short-received shipments for the teams.

 Ensures prompt clearance and delivery of all door-to-door shipments, and provides the

appropriate P.O.D's to the origins on the shipments.

 Provides to the teams the daily delivery reports of all incoming shipments as undertaken by

the operations team.

 Follow up with our offices at the borders and make sure our import and export shipments are

moving smoothly.

 Follow up with the teams and make sure job costing sheets for all land shipments are

submitted to the invoicing on time.

 Answer customers’ requests related to their shipment's status and updates.

 Follow up on clearance cases and make sure to follow up on customs duties payments.

 OUTBOUND

 Receives the full shipment details from any/all team members, as per their client requests or

as per "Shipper's Letter of Instruction (SLI)".

 The Center should book the shipment with the airline(s) and should follow- up on its export

procedures efficiently and delay-free.

 Updates the "Export Reservation Report” and forwards the information to the teams.

 Ensures all system alerts are done promptly and follows-up on the status of all outgoing

shipments as per QOSS.

 VERIFICATIONS:

 Ensures that all cases correspondence are attached to the job sheet for the scrutiny of the

accounts.

 Ensures that clear copies of both the MAWB & HAWB are attached to each job sheet.

 Ensures that costing is based on the chargeable weights of the jobs/ air waybills.

 Ensure that the operations staff are doing their job properly in updating the FTS thus the

teams can check the updates on the system

 Ensure the FTS is updated on time by the operations staff.

Mission

Develops and adapts the strategy on his/her scope consistent with the policies defined by the Management in the Commercial, Financial, Technical and Social fields in order to ensure the performance of his/her establishment.   

 

Main Responsibilities

Guarantees the Group's QHSE policy within his/her scope: ensures the conformity of jobs and industrial tools.

Ensures the sustainability and development of the establishment in compliance with the Group's compliance rules: participates in strategic decisions, ensures the renewal of authorized reservations, proposes areas of development, etc.

Is responsible for the performance of the establishment and aims at its  optimisation: defines the budgets including investments in relation with his/her team, optimises production and operation, coordinates all the different departments, establishes the monitoring of all reporting. 

Defines and leads the sales policy: knows his/her market perfectly, defines the Sales Action Plan, develops the customer portfolio, leads the sales force, etc.

Anticipates changes and adapts the organisation of his/her establishment according to his/her market: supports change, evaluates and recommends changes to policies or procedures.

Supervises the societal acceptance of the establishment(s): is in contact with administrations and associations, is responsible for the respect of the environmental obligations of authorisations (permits, decrees, etc.).

Manages all employees: ensures a good social climate within his/her establishment , drives and motivates the management, ensures HR development (recruitment, training, remuneration, etc.).

Create a central library for all documentation of LOAMS.

Create pending manuals fort the current portfolio.

 Coordinate with all stake holders.

Act as central point for all docs, update, revisions, modifications and ensure update documents revisions across all disciplines/trade.

Handling intake, scanning, verification, and storing documents.

 Filing and archiving relevant documentation.

 Retrieving files for other employees and customers when needed.

 Designing templates for documents, file types, and document databases.

Checking and editing documents for accuracy and compliance.

 Controlling the flow of documents in and out of the department.

 Reporting errors or developments regarding document storage.

 Ensuring the secure destruction and disposal of sensitive documents.

 Updating and maintaining document management systems and physical records.

 Maintaining the security of confidential documents.

 Assisting employees with accessing documents through our document management system.

Establish and maintain record retention timelines.

 Maintain confidentiality regarding sensitive documents.
