Job Overview

Day to day responsibilities associated with processing of all DOC suppliers invoices for MEA (multi currencies), ensure all approvals and postings through Basware Alusta and thereafter release of their payments. Intercon operations invoice payments locally and make settlements via ICE by raising recharge invoices at each month end.

 

Main Responsibilities

Receive and process payments for all incoming DOC supplier’s invoices.

Stay in close contact with suppliers where there are delays particularly DOC invoices and follow up for invoices not received for payments

Reconcile invoices with AIRPAS flight data and seek invoices approval for payments.

Ensure service contract rates on invoices are exactly matching with AIRPAS rates master.

Filling of signed service contract or published tariff lists by Airport authorities.

Validate approval of all invoices in accordance with approved DOAG.

Coordinate with payment processing team for on time payments and bank transfer references.

Follow up all debit balances (if any) with suppliers account to seek timely adjustments with upcoming invoices.

Effectively deal with invoice queries and seek guidance of line manager where necessary.

Resolve all suppliers invoices related issues and queries in a timely manner

Ensure suppliers share there SOAs frequently after invoice payments on monthly or quarterly basis.

Make DOC payment for Intercon wet lease operators and make monthly reconciliations for recharge to relevant entity.

Ensure VAT compliance for invoice coding in GL as a list of VAT codes provided for each supply.

Share recharge invoice details with treasury to settle these recharges via ICE setup.

Perform all tasks for the month end accruals from AIRPAS for un-invoiced flight data.

Prepare monthly variances comments for GL vs AIRPAS expected costs.

Support reporting team by completing own tasks to adhere local or global deadlines.

Share IC balances with partner to ensure IC reconciliation at each month end. Follow up with IC partners and resolve if any disagreement.

DOC Balance sheet account review and follow up for open items.Handle broad range of Controlling work – some admin and routine (e.g. monthly budget reporting), but often complex and non-routine requiring more background research and analysis e.g. forecasting, business cases

Ensure delivery of own service for own area to set standards, targets and schedules and improvements

Focus on ensuring positive business impact of Finance within own area – country, sector, product, etc. in scope

 

Education & Experience Qualifications

Graduate degree in Accounting & Finance.

Minimum 2-3 years’ experience in payables or accounting in a large organization.

Proficiency in Software skills like MS Excel, Word & PowerPoint.

Analysis skills, including the ability to form, analysis & interpret data.

Good communication skills.

Ability to effectively explore alternatives so as to reach common results

Demonstrating a high level of commitment, energy, resilience and tenacity in doing the job

Logistics Lead, Subsea 7, Qatar

Within Africa, Middle East & Caspian region (AMEC), we safely execute Subsea and Conventional projects which connect seabed wellhead infrastructures to surface facilities such as platforms and floating production systems. We are actively present in a significant number of countries in Africa, Europe, Caspian Sea, Middle East and Asia.

Role Description:

Based in Qatar, the Logistics Lead has the responsibility to facilitate the movement of marine fleet, vessels, personnel, equipment and materials, offshore (and back onshore again) as required, in support of project work scopes. He/she is responsible for the implementation of Subsea 7 processes related to logistics while being knowledgeable and accountable for the specifics associated with operating in the Qatar & Middle East.

The Logistics Lead reports to the Logistics Manager. The function is embedded in the Qatar Operations Group.

Key Responsibilities

  • Liaise with SCM Team, Project Management Team, Freight Forwarder & marine agents in order to establish schedules for project marine fleet, materials and equipment.
  • Liaising with Procurement Department on Shipment Readiness, Review Shipping Documents provided by vendor and make sure they are in order with Company’s Shipping SOPs and with destination country requirements and maintain track records of goods clearance.
  • Confirm collection, dispatch and delivery of shipment at destination on a timely manner, failure in which, investigate and take corrective measures
  • Make sure temporary shipments and Rental Equipment’s are shipped with due diligence and ensure destination country requirements are fulfilled. Also ensure, temporary shipments are returned under stipulated time frame in order to claim back duties and Taxes kept as deposits.
  • Make sure the accurate Commodity classification codes are used while shipping equipment’s and materials. Identify where duty exemptions can be availed by virtue of HS Codes
  • Whenever DG shipments needs to be moved, get pre-confirmation on customs clearance from destination agent. Make sure such shipments moved with proper declaration.  
  • Follow-up with freight forwarder on pre-clearance of Air freights
  • Make sure appropriate type of truck, trailers are used for land Trucking and all legal permissions obtained for moving OOG Cargo
  • Report any delays in Customs or other associated ME authorities, identify reasons for delays and work with GROs and Agents, as necessary, to minimise/mitigate the delays. The root cause to be ascertained and take Steps to avoid further occurrence
  • Assist on Vessel Mobilization / demobilization activities. Follow up with agents on Deployment of vessels and barges at Production fields as per client’s requirements and contractual obligation 
  • Liaise with Destination agent on smooth berthing and customs clearance and material discharge
  • Update Service Request Ticket (SRT) to ensure that all necessary Service Orders are raised for call off the various transportation, Agency and other 3rd party services
  • Regularly monitor regional changes in Shipping laws and practices and Advise projects of any change in access and/or permitting requirements that could affect logistics movements of offshore requirements. If Required, Organize training section to relevant PMT personals in this regard.
  • Review Agent invoices where relating to logistics and ensure they are in order with contract rates. Discrepancies to notify and oversea payments made as per agreed terms.
  • Liaison with any Customs Clearance Agent to ensure that any/all necessary paper work is duly processed prior, to any material shipment and ensure that copies of all relevant documents are made available to all stake holders in due time
  • Assist on Offshore Crewing/ onshore personnel, if required, in the organisation of ground arrangements inclusive of airport transfer, inter port transfer and embarkation/disembarkation of crew at port
  • Provision of any necessary support Operation Team for Vessel Clearance activity
  • Necessary support to ad-hoc request/assistance as required by PMT

  • Marine and Freight Forwarding Agencies
  • Air Lines, Shipping Lines and other Transportation companies
  • Necessary Authorities (Customs, Port Authority, Immigration and consular authorities, Coast Guard etc.)
  • Any necessary liaisons in relation to the Emergency Response Organisation

  • Other Functional Departments, as required, Finance, HR, IT, Legal etc.

Key Qualifications & Experiences

  • Graduate / Diploma holder or equivalent
  • Minimum 5 years of similar operational logistics work experience preferably in Qatar
  • Ability to perform well under pressure with tight deadline
  • Ability to react to and support operations with 24/7 support activity
  • Excellent interpersonal and communication skills and able to relate with cross cultural management environment
  • Flexible with regards to ad hoc travel
  • Able to work independently.

Cargo ULD Control Coordinator, Qatar Airways, Doha, Qatar

 About the role:

You will be responsible for maintaining and controlling stock availability of ULD's for QR network stations to move cargo & baggage in a safe and cost-effective manner. Coordinates in planning and placing order for ULD's and supporting tools. Manages effective system entries and track of ULD's distributed network wide.

  • Assists in developing ULD feeding plans to stations and regions with ULD control agents
  • Monitors stock levels for assigned station portfolio, planning required ULD stocks to prevent stations from going below minimum stock allocation
  • Coordinates with relevant stakeholders (GHA/QR Ops/QAS/trucking) and provide instructions for ULD dispositioning.
  • Coordinate the bookings, logistics, leasing of horse stalls, and ULDs for charter movements. 
  • Checks and ensures ULD systems are updated regularly, i.e. movement, position of ULD's, ULD activations/deactivations.
  • Ensures interline units are being managed properly and necessary steps are being taken to do a proper handover to avoid liability for the airline.

Qualifications

About you:

  • Minimum of a Bachelor’s degree or equivalent with 2 years of job-related experience OR
  • Minimum of a High School Qualification / Vocational Qualification / Diploma or Equivalent with 3 years of job-related experience
  • 3 years in the airline industry, with 2 years in cargo operations / ground handling is preferred
  • Load Control, Ramp Handling, ULD Management
