JOB TITLE: SENIOR COORDINATOR – COMPLIANCE
KEY RESPONSIBILITIES:
Primarily acting as the Speak Up tool administrator which entails assessing received concerns, categorizing them, and processing them as per applicable procedure.
Actively following up on implementation of recommended actions and promptly escalate any concerns to Investigations Manager.
Acting as the second interviewer in all GIT interviews.
As and when directed, performing the disc imaging via e-discovery, conducting a primary review of emails based on key words provided and generating relevance reports to the responsible investigator.
Responsible for generating reports and metrices as and when required as per the acceptable and required format.
Maintaining the GIT’s SharePoint and providing administrative support to team as and when required.
Opening the case on receipt of a Speak Up, assessing and adding case notes.
Realigning the potential category for each reported violation.
Ensuring the accurate recording of concern type, location, country/Business Unit, reporting channel, description of allegation and an executive summary.
Liaising with the reporter to request additional information if and when required.
Assigning cases to nominated investigators through an email notification or through the Speak Up tool.
Keeping case details and information updated always based on inputs received including substantiation, closure, cycles, etc.
Gathering statistics and generating reports for Compliance Ethics Committee, Triage Committee, and other reports as required by the Investigation Manager or Investigations Director or any other compliance team members.
Analysing Speak Ups and assessing the risk level, in coordination with the Investigation Manager, and assigning to an investigator or farm out as appropriate.
Provide oversight, particularly on investigations which are “farmed out” to other functions and/or investigated by other parts of the Business and follow up with them for investigation reports, recommended actions.
Supporting and liaising with investigators from different functions to ensure feedback from the investigation closeout is appropriately fed to the designed Speak Up management process.
Ensuring Investigations Procedure compliance and record keeping - for example that all High Risk investigations have detailed and agreed Terms of Reference (ToR), including non-conflicted Decision Makers, prior to their commencement; reporting of investigation results in approved formats and in mutually agreeable/practicable timelines and oversee close out of recommended actions stemming from Investigations.
Responsible for the accurate keeping and updating of the Investigations Folders/Repository.
Responsible for organizing and minuting the Triage Committee meetings as and when it is required.
Responsible for handling all internal and external communications and tasks in an Administrator role for performing operational responsibilities of Navex and internal record keeping.
Acting as the note taker in all investigations’ interviews.
Live in conformance with the Petrofac Code of Conduct and Values with high ethical standards, commitment, and integrity.
ESSENTIAL QUALIFICATIONS AND SKILLS:
Versatile and seasoned researcher, analyst and systems and processes specialist.
Bachelor’s degree preferred.
3+ years relevant experience gained in relevant companies or professional services firms.
Awareness of investigations methodologies, tools and techniques.
Strong working knowledge of managing compliance reporting systems.
Awareness of business risks.
Business Knowledge – an understanding of E&C, oil & gas and/or the technical functions that support them, operating in Petrofac key geographies.
Functional knowledge – an understanding of some of the key support functions e.g., Finance, HR, IT, Legal, Tax, Compliance, Company Secretariat, etc.
Experience in working alongside a team of professionals with diverse competencies and experience (e.g.: Accountants, Internal Auditors, Engineers, Lawyers, Investigators etc.)
Interview note taking and forensic e-mail review skills.
Experienced in conducting interviews and managing difficult challenging/conversations.
Strong written and verbal communication skills, ability to deal with internal and external stakeholders, such as regulators, legal experts, business partners, etc.
Knowledge of Arabic (written and verbal) will be an added advantage.
Excellent presentation and listening skills.
Outgoing, ability to maintain confidentiality, objectivity, impartiality.
Fact based and attention to detail – comfortable operating in a detailed, fact-based environment.
Strong organisational skills and drive.
Ability to prioritise workload and deal with conflicting priorities.
Conscientious and methodical with excellent attention to detail, highly organised and capable of managing conflicting priorities and deadlines.
Microsoft Office Suite (Word, PowerPoint, Excel, Team, etc.)
Navex Ethics Point
Microsoft e-discovery
Strong administrator experience and capabilities in managing Compliance reporting systems such as Navex.
Experienced in working on Forensic tools and systems preferred, eg: NUIX, Microsoft E-discovery, Relativity etc.
Experience of working in the business either in the first or second line of defence would be an advantage.
