What You'll Do
Collaborating closely with building management for operations and maintenance
Assisting with the coordination and set up of special events within the office
Assisting with onboarding and welcoming new employees
Collaborating with the catering team or/and vendors to coordinate the local food and beverage services, organize and maintain inventory of pantry and office supplies
Working collaboratively with vendors or/and suppliers (incl. janitorial, security, etc.), being their “go-to-person”
Responsible for office-related purchases and follow-up financial management
Supervising and completing requests via ticketing system
Introducing and establishing tools to improve the office or/and employee experience (visitor management, shipping/receiving, communications, internal websites, etc.) locally
Establishing positive relationships and communication within different teams to meet business and operational needs (IT, HR, Health & Safety, Security, etc.)
Assist in developing and coordinating annual facilities operating budget
Negotiate all facilities service contracts to improve cost efficiency
Handle and be responsible for all facilities vendors (such as cleaning, repairs and maintenance team) onsite
Handle and resolve all facilities/maintenance tickets through our Jira system in a timely manner
Ensure compliance with local health and safety standards and industry codes
Handle preventive and emergency maintenance of facility equipment, including but not limited to heating, ventilation and air conditioning (HVAC), lightings and kitchen appliances
Act as an extension of the global Community Experience team in your local office
Who You Are
You have at least 4 to 5 years of experience in a similar role
Excellent verbal and written communication and social skills, proficiency in English and Arabic
You are a passionate colleague and you have excellent communication skills and an ability to remain calm in complicated situations
You have good self-management skills and a can-do-attitude
